Operator playbook

Introduce No-deposit without removing cash choice everywhere.

Begin with a controlled portfolio, clear tenant communication and a documented claims and dispute process.

Define the eligible scope.

Choose the properties, tenancy types and tenant segments that can be considered. Confirm the operator entity, local rules, deposit amount, service fee, evidence requirements and cases that remain cash-only.

Do not market the option before the local product and legal route is approved. No-deposit is market-dependent and operator-enabled.

  • Pilot properties and tenancy types.
  • Tenant eligibility and exclusions.
  • Cash deposit alternative remains visible.
  • Fee, liability and claims documents approved.

Present a comparable choice.

Show the eligible cash security deposit and no-deposit option together. Explain what the tenant pays now, what they may pay later, what is refundable and what liability remains.

Avoid labels such as free, risk-free or no responsibility. The absence of an upfront deposit does not remove rent, damage or other tenancy obligations.

  • Use the same rent and tenancy context for both options.
  • State the payer and billing cadence.
  • Explain cancellation or change rules.
  • Give the tenant access to applicable terms before agreement.

Prepare move-out and disputes.

Before the first activation, document how evidence is gathered, who reviews a claim or disputed amount, which limits apply and how the tenant can respond.

Train property and support teams to use accurate statuses. A requested or reviewed amount is not automatically a confirmed payment or recovery.

  • Condition and inventory evidence.
  • Notice and response path.
  • Decision and escalation owners.
  • Accounting and recovery treatment.

Pilot and measure.

Start with a defined cohort and record choice rate, time to move-in completion, support questions, disputes and the operational effort required. Compare equivalent tenancies over the same period.

Expand only after the team can explain the product consistently, support the tenant and close the back-office workflow.

Questions operators ask.

Should No-deposit replace every cash deposit?

No. A controlled rollout can preserve cash as a choice and limit the service to eligible tenancies.

Who pays the CasaPay service fee?

The current proposition describes the agreed No-deposit fee as tenant-paid.

What should staff say about liability?

State clearly that No-deposit changes the upfront security-deposit route, not the tenant's rent or damage obligations.

What is the first rollout milestone?

An approved local proposition, trained team and first eligible tenancy completing the full workflow with accurate records.
